Are you interested in hosting a tournament on the city's athletic fields?  Please review the following information for the 2013 Athletic Field Reservation Bid Policy.  Bids are due by 5:00 p.m., Thursday, December 1.  Highlighted areas in the documents reflect changes for 2013.  In addition, all pages of the contract must be initialed in the space provided at the bottom of each page.

To bid, please complete the Field Rental Reservation Agreement and the Field Rental Pre Event Estimated Economic Impact Form for each event.  The list of fields available for 2013 includes field dimensions and amenities.  A Hospitality Account Application Form is available.  Please note that all event requests are for calendar year 2013.  Bids will be opened at 10:00 a.m., Monday, December 5, 2011, at Crabtree Memorial Gym.

Tournament directors will be notified once dates have been awarded.  Field rental deposits must be received within 10 business days upon notification of bid award.  Failure to submit deposit within the designated time will result in forfeiture of award and loss of date.  A Sample Insurance Certificate is available.

The following dates and fields are NOT AVAILABLE for 2013:

July 20- August 4... All Fields (1,2,3,5,6,7,8,9,10,11,A,B,C,D,E,F,G)

August 5- August 11... All Fields (1,2,3,5,6,7,8,9,10,11,A,B,C,D,E,F,G)

August 29-September 2... Grand Park (1,2,3,5,6,7,8,9,10,11,12)

Once bids have been awarded and deposits received, tournament directors will be sent the Field Rental Post Event Economic Impact Report and the Sports Tourism Participant Survey.  Surveys must be completed by each team participating in the tournament.  The tournament director has five days after the tournament to submit the Field Rental Post Event Economic Impact Report, along with completed surveys, to the contact name and address above in order to receive the field rental rebate.  Failure to submit Post Event Economic Impact Reports and surveys will be considered on future bids.
